Job Summary
As a Creative Project Specialist, you will project manage all aspects of the development and delivery of a variety of creative deliverables in support of our sales team including proposals, presentations and other print and digital collateral items as needed. Project Specialists must have excellent organizational skills, strong multi-tasking abilities, and be able to ensure all requirements for each project are being met. This is a highly visible role, supporting our sales team bring together subject matter experts from all levels within the company. They contribute to the overall strategy of a sales pursuit by leading the development of our creative approach with each project.
Responsibilities and Qualifications:
3+ years of project management experience
Proficiency in Acrobat Pro and the full Microsoft Office Suite
Ability to use both Macs and PCs - understanding cross-utilizations/limitations
Coordinating the creative development process and content strategy of multiple deadline-driven deliverables including proposals, presentations, microsites and collateral items
Reviewing all documentation for a project including Request for Proposals (RFPs) or sales outlines to ensure all requirements are met while creating our response deliverables. RFP knowledge/experience a plus, especially related to facility management or foodservice
Planning, directing and monitoring the development of each project deliverable from start to completion
Collaborating with project team members both on the Creative Team, including Graphic Designers and Editors, and from across the company, such as Sales, Marketing and Operations to gathering all content needed and oversee the accurate completion of each deliverable
Following team processes for implementing timelines, keeping projects on track and making sure deadlines are not missed
Providing support for assignments given to project team members or subject matter experts as needed
Locating, gathering and organizing content
Writing proposal responses as needed in conjunction with project team members
Communicating project timeline and status updates with all key stakeholders
Brainstorming creative ideas for deliverables and staying current on industry-related design trends for multiple deliverable types such as document design for print and digital, production and packaging options, presentations both virtual and in-person, website design, video editing styles, etc
Ability to handle multiple, complex projects simultaneously
Ability to communicate clearly with team members and colleagues during meetings that are via-phone, virtual and in-person. Excellent presentation, interpersonal, written and verbal communication skills
Ability to adapt to and work with all personality types successfully, building cross-departmental relationships
Ability to manage time, work flow and schedule in order to meet strict and sometimes aggressive deadlines while maintaining consistent quality performance
Working quickly and efficiently alone or with a team, with focus and a keen attention to detail
Ability to effectively work remotely
Ability to occasionally work nights and weekends if needed to meet client deadlines
Willingness to travel approximately 4-6 times per year
Preferred Qualifications:
Experience in sales and strategy for RFP proposal responses and/or presentation development
Creative/technical copywriting skills
Adobe InDesign and additional Creative Suite program knowledge
Bachelor’s degree or equivalent experience
